Baseball Winter Meetings registration & housing brochure will be available online in early September. Please keep in mind you must be a Minor League Baseball or Major League Baseball organization, or an APPROVED Non-Member, to attend the Baseball Winter Meetings. Hard copies of this brochure will also be available at the Baseball Winter Meetings Office in mid September. The price above for a full passport to the Baseball Winter Meetings gives the buyer one (1) ticket to each of the events at the Baseball Winter Meetings including the Awards Luncheon, Gala, Banquet and one (1) gift bag ticket.

Individual tickets are available for purchase by any fully-registered person. However, only attendees with a full registration are eligible to receive a Baseball Winter Meetings Gift Bag.
Refund requests must be submitted in writing on or before November 27th. All requests can be sent to Darryl Henderson via email to darryl@milb.com or via fax to (727) 821-5819. Refunds are only available if a registered person has a death or illness in the family. Appropriate documentation may be required. If the registration materials have been shipped, the materials must be returned to the Baseball Winter Meetings office before a refund will be issued.
BASEBALL WINTER MEETINGS GENERAL RULES
Attendee Conduct & Liability
Attendees must abide by all applicable laws, codes, regulations, ordinances and rules including the rules of the convention and all directions given by the Convention Staff and/or the convention site. Attendees assume all risks and responsibility for attending the Baseball Winter Meetings, Baseball Trade Show, and all events related to them.
ATTENDEES AGREE THAT THE NATIONAL ASSOCIATION OF PROFESSIONAL BASEBALL LEAGUES, INC. ("NAPBL"), PROFESSIONAL BASEBALL PROMOTIONAL CORP., (THE "ORGANIZER"), MAJOR LEAGUE BASEBALL, THE INDIANA CONVENTION CENTER, AND ALL OF THEIR RESPECTIVE SUBSIDIARIES, AFFILIATED COMPANIES, MEMBER LEAGUES AND CLUBS, SHAREHOLDERS, DIRECTORS, OFFICERS, EMPLOYEES, REPRESENTATIVES, AGENTS, CONTRACTORS, SUBCONTRACTORS, AND ATTORNEYS SHALL NOT BE LIABLE TO ANY ENTITY OR INDIVIDUAL FOR ANY LOSS, DAMAGE, OR INJURY ARISING OUT OF OR RELATING TO (i) ANY NEGLIGENT, RECKLESS OR INTENTIONAL ACT OR OMISSION OF ATTENDEES (OR ANY OF ATTENDEES' OFFICERS, EMPLOYEES, REPRESENTATIVES, AGENTS, GUESTS OR INDEPENDENT CONTRACTORS) OR (ii) ANY VIOLATION OF ANY APPLICABLE LAW, CODE, REGULATION, ORDINANCE OR RULE BY ATTENDEES (OR ANY OF ATTENDEES' OFFICERS, EMPLOYEES, REPRESENTATIVES, AGENTS, GUESTS OR INDEPENDENT CONTRACTORS). Each event listed in (i) and (ii) is an "Indemnified Event." ATTENDEES AGREE TO INDEMNIFY AND HOLD HARMLESS NAPBL, ORGANIZER, MAJOR LEAGUE BASEBALL, INDIANA CONVENTION CENTER AND ALL OF THEIR RESPECTIVE SUBSIDIARIES, AFFILIATED COMPANIES, MEMBER LEAGUES AND CLUBS, SHAREHOLDERS, DIRECTORS, OFFICERS, EMPLOYEES, REPRESENTATIVES, AGENTS, CONTRACTORS, SUBCONTRACTORS, AND ATTORNEYS AND INSURERS FROM ANY AND ALL CLAIMS, THREATS, DAMAGES, INJURY, LOSSES, LIABILITY, SUITS, ACTIONS, DEMANDS, JUDGMENTS, PROCEEDINGS (WHETHER LEGAL, EQUITABLE, ADMINISTRATIVE OR OTHERWISE), COSTS AND EXPENSES (INCLUDING WITHOUT LIMITATION ATTORNEYS' FEES) RELATING TO OR ARISING FROM AN INDEMNIFIED EVENT.
BASEBALL WINTER MEETINGS GENERAL ATTENDANCE POLICY
The Baseball Winter Meetings are not open to the general public. In order to attend, you must be a member of The National Association of Professional Baseball Leagues Inc., d/b/a "Minor League Baseball", Major League Baseball, a Baseball Trade Show Exhibitor, a Job Fair attendee or an approved Non-Member. Non-Member applications must be approved prior to registration and will be considered on a case-by-case basis, in Minor League Baseball's sole discretion.
Any company that is in the business of selling a product or service to any Minor League or Major League Baseball club or league can only attend the Baseball Winter Meetings as a Baseball Trade Show Exhibitor.
Any professional or amateur sports league, club or organization must go through the Non-Member approval process as mentioned above and will be considered on a case-by-case basis, in Minor League Baseball's sole discretion.
Minor League Baseball, in its sole discretion, reserves the right to refuse admittance to any person or entity for any lawful reason. A member that has previously purchased a Name Badge Only may purchase an upgrade to a full registration package which includes tickets to all events by paying the on-site registration
NON-TRANSFERABLE CONVENTION NAME BADGES
A convention name badge serves as a license for admission to the Baseball Winter Meetings and Baseball Trade Show. Convention name badges are required to gain entry to the Baseball Trade Show. Convention name badges are non-transferable. Convention name badges must be worn at all times and must be presented upon request. Tickets are required to attend special events and are not transferable. Minor League Baseball reserves the right in its sole discretion to terminate an attendee's license at any time and require the attendee to leave the premises. Anyone so removed from the convention will not receive any refund of fees previously paid. Re-entry to the convention will not be allowed. In addition, Minor League Baseball reserves the right in its sole discretion to terminate an attendee's license at any time and require attendee to leave the premises if an attendee presents a name badge that does not belong to him or her or cannot produce required identification. Sharing name badges is strictly prohibited.
CHILDREN'S ATTENDANCE POLICY
Children age 4 and older must have a ticket and trade show name badge to gain entry to the Baseball Trade Show and Baseball Winter Meetings special events. Costs for children age 4 or older are the same as for adults.
REGISTRATION vs. ROOM RESERVATION POLICY
A person must be fully registered to attend the Baseball Winter Meetings in order to reserve housing through the Baseball Winter Meetings Housing Office. A deposit equivalent to one night's stay per room reserved is required to process the housing form.
LOSS/REPLACEMENT POLICY
If you lose or leave your registration materials at home, a replacement name badge can be purchased on site at the Baseball Winter Meetings registration counter. If you lose special event tickets or a full passport, the charge for a replacement is the face value of the individual ticket or full passport. Upon your return home, a refund will be issued if you return all materials intact to our offices.
USE OF EMAIL ADDRESSES
Email addresses of registrants are shared with Baseball Winter Meetings Sponsors so that sponsors can provide information about industry products and reviews. In addition, if you reserve housing through the Baseball Winter Meetings Housing Office your email address will be given to your assigned hotel in order to send hotel confirmation numbers.
